Operations Coordinator

Job Description

Work location: HCMC, Vietnam – Office based

Reports to: Managing Director (MD)

Commencement: Dec 2022


  • Assist the MD with handling a variety of tasks that ensure the smooth daily operations of TESV business.

  • Tasks include dealing with clients and participants; performing administrative duties for training & CoPC; basis HR & finance-related; assisting with project management, logistic arrangement and events organizing.

Duties to Perform:


  • Handling client requests relation to Training & CoPC: request -> discussion -> quotation -> contract

  • TESV project / jobs update

  • Together with Marketing & Instructor Support to schedule and set up of classroom for Ex training and CoPC assessment

  • Training / CoPC preparation: participant list, logistics (lunch, tea-break, parking etc), certificate printing & delivery

  • Acting as adjudicator for CoPC theory as required

  • Consulting project: searching external inspector, contract, PPE, logistics for Mob/Demob, timesheet

  • Working with Trainor & Exert: relevant communication, fee calculation, invoice, payment

  • Work with colleague on special project as needed

  • Welcoming & smooth communication with participants / candidates

  • Learning to get familiar with company’s insurance policy

  • Involvement in bidding/tendering (if any)

HR & Finance related:

  • Labor & working contracts

  • SI-HI-UI compliance (Optional)

  • Maintain records and database of employee information & annual leave

  • Petty cash & Banking

  • Debt collection & Invoice issuing to client (Optional)

  • Accounting docs collection & providing to Accounting Firm


  • Oversee the office facility / supplies and maintenance

  • Make travel arrangements for staff: flights, accoms, visa, transport, insurances etc.

  • Other ad-hoc tasks as required from time to time.


  • University degree with >5 years’ working experience in services companies. Understanding of Oil & Gas industry, commercials and a little of accounting tasks is preferred.

  • Customer / service-oriented mindset

  • Good communication skills (internal & external)

  • Good sense of responsibilities

  • Fluent English

  • Well organized; Consciously self-managed & proactive mindset

  • A positive energetic personality.

  • Critical thinking & problem-solving skill is a plus.
